Built for bigger screens

Here's what this tool builds — a break-even chart for your event, a clear profit verdict and a full cost breakdown. It needs a full-size screen to run.

A sample preview — open on a laptop or desktop to run it with your own event.

Event profit & loss calculator

Price an event, see exactly where the money goes, and know how many covers you need before it makes a penny.

Revenue allocation — how each guest's price splits

Split the per-person price between food, beverage and entertainment, and set the cost-of-sales percentage for food and beverage. Anything unallocated is treated as other income.

Variable costs — per person

Costs you incur for every guest — crackers, party hats, gift bags. Enter them ex-VAT. You can paste a list straight from a spreadsheet.

Fixed costs — per event

Costs you pay once however many guests turn up — the band, the DJ, staffing, décor. Enter them ex-VAT. These are what your covers have to climb over before the event makes money.

Event profit & loss (at forecast covers)

LinePer coverTotal

Profit is contribution — net revenue after cost of sales, variable costs, fixed costs and any royalty or commission, before labour overheads not listed above. Costs should be entered ex-VAT.
